How to activate and change an Administration's invoice cut-off date for Account statements

Before using the Account statements page, an Administration must be activated by setting a cut-off invoice date. This is to ensure that the due amounts shown for each debtor are relevant from a recent date. The cut off date can be changed if required in the Administration.

Account Statements Cut-Off Date info:

  • Setting an Administration activation date in the Account statements (Back office) page to a recent date ensures that there is a small backlog of invoices to mark as fully paid.

  • Activation may take up to 30 seconds as invoices are recalculated (depending on invoice count for an Administration).

  • Note: The cut-off date can be changed in the Administrations (Administration) page and changing the date set in the ‘Account Statements Cut-Off Date’ field.

Activating an Administration for Account statements

  1. Click the ‘ACTIVATE’ button in the Account statements (Back office) page for the Administration.

  2. Choose a invoice ‘Cut off date’ to ensure that account statements are accurate and relevant for debtors. Note: A date picker will appear to allow quick date picking.

  3. Click ‘SAVE’ to recalculate invoices up until this date and activate the Administration for account statements.

Changing the invoice cut off date for an Administration

Account statement activated Administrations should not usually require changing the invoice cut off date. To change the cut off date, see below process:

  1. Navigate to the Administrations (Administration) page.

  2. Click ‘Edit’ on the Administration that requires the cut off date changed.

     

  3. Scroll towards to the bottom to find the ‘Account Statements Cut-Off Date’ setting. Add a new cut off date for the field.

  4. Click ‘Save’ to save the changes.
