Email template variables for invoices

The variables below are available for sending an invoice to the client. These variables will be automatically filled in once the option 'Send via email' is chosen in the options for sending an email. These template variables can be used in the invoice email subject or invoice email body. The subject and body are defined in the Administration.

  • AdministrationName - Name of the administration
  • ApplicableDebtorNumber - The administrations debtors contact number (accounting reference number) or else the global number e.g 37203
  • CurrentDateTimeUTC 
  • InvoiceNumber - Invoice number
  • DebtorDisplayName - The debtors full name and applicable debtor number e.g Aviation Corp. (37203)
  • DebtorName - The debtors short name and applicable debtor number e.g Aviation (37203)

  • DebtorNumber - Debtor number (global for the FBO network)
  • DebtorShortName - The debtors short name only e.g Aviation
  • EmployeeDisplayName - The name of the employee, based on the login and validation key used. This will be different depending on who is using the system at the time the variable is used, and can even be unknown if the validation key has expired
  • EmployeeFirstName - Just the first name of the employee.
  • InvoiceDate - Invoice date formatted as 'yyyyMMdd'. Example: 20120101
  • InvoiceShortDate - Invoice date formatted as 'dd-mmm-yy'. Example: 01-Jan-12
  • UserEmployeeDisplayName - The name of the user and employee (if different, otherwise just the user), based on the login and validation key used. This will be different depending on who is using the system at the time the variable is used, and can even be unknown if the validation key has expired. See also EmployeeDisplayName.
  • VAT Claims text in the footer of the invoice/order (see more details here)

Note that you can include any custom values assigned to the Debtor and to the Administration by prefixing the names with "Custom-", for example ~Custom-SomeDebtorCustomProperty~
